System User Guide

Learn how to register, log in, and use the main services.

Welcome to Ahsante Talawa Microfinance System

This guide explains how members, leaders, and administrators can use the system for registration, contributions, loans, reports, reminders, and group records.

1. Opening the System

  1. Open the system link in your browser.
  2. Choose English or Swahili using the language selector.
  3. Use Register if you are new, or Login if you already have an account.

2. Member Registration

  1. Click Register on the home page.
  2. Fill in your personal details correctly.
  3. Create a username and password.
  4. Submit the form and wait for admin approval.
You cannot fully use the system until your account is approved.

3. Login

  1. Click Login on the home page.
  2. Enter your username and password.
  3. If you are a leader, choose the correct working mode when asked.

4. Member Services

Dashboard

View contributions, loan totals, notifications, announcements, and quick links.

Contributions

Check monthly contribution records and unpaid months.

Profile

View your personal account information.

Group Records

Access minutes, photos, constitution, and group updates.

5. Loan Services

  1. Open Loan Services from your member dashboard.
  2. Check if you are eligible for a loan.
  3. Use the Loan Calculator before applying.
  4. If eligible, click Apply for Loan and fill in the form.
  5. Wait for admin approval after submitting the application.
Loans above the allowed guarantor threshold require a guarantor. Late repayment may attract penalties.

6. Leaders and Admin

Secretary

Manages members, minutes, photos, constitution, and records.

Treasurer

Manages contributions, loans, repayments, expenses, and financial reports.

Admin / Chairman

Has full control of members, loans, reports, settings, logs, reminders, and elections.

Approvals

Admins approve members and loan applications before they become active.

7. Reports and Reminders

  • Contribution reports show monthly member payments.
  • Loan reports show active loans, repayments, and history.
  • Fines reports show penalties and late payment records.
  • WhatsApp-ready messages can be copied and sent to members.
  • Delay reports are used when leadership approves delayed payment.

8. Logout

Always click Logout when you finish using the system, especially on a shared computer.
